How LeadRilo collects, uses, and protects information — and the important difference between the data we control and the customer data we process on your behalf.
The short version
- You own the leads, contacts, and records you put into LeadRilo. We process that data to run the service for you — we do not sell it.
- For our own website and account/billing relationships, we act as the business deciding how limited data is used.
- You can request access, export, correction, or deletion. Analytics cookies can be declined.

1. Introduction
This Privacy Policy explains how LeadRilo ("LeadRilo", "we", "us") handles information in connection with the LeadRilo platform and the leadrilo.com website. LeadRilo is a lead-to-revenue platform that helps service businesses capture leads, respond and follow up, manage a pipeline, and understand which leads become revenue.
A single idea shapes this entire policy: for most of the data inside LeadRilo, you are in control and we are acting on your behalf. It matters because it determines who is responsible for what.
When LeadRilo is the business in charge (controller)
We decide how limited categories of data are used when the relationship is directly with us:
- Visitors to our marketing website
- People who create or administer a LeadRilo account
- Billing and subscription contacts
- Sales inquiries and demo requests
- Support conversations with our team
- LeadRilo's own marketing to businesses
When LeadRilo is acting on your behalf (processor / service provider)
When you use LeadRilo to run your business, you upload and manage records about your own leads and customers. We process that information to provide the service according to your instructions:
- Leads and contact records
- Messages, calls, and form submissions you capture
- Appointments and pipeline data
- Notes, tasks, and workflow information
- Other business records you choose to store
For the customer records you put into LeadRilo, you are the controller and we are the processor. If an individual in your records wants to exercise privacy rights, the business that collected them is the right first point of contact, and we support you in responding.
2. Information We Collect
Account information
- Name
- Email address
- Phone number (if provided)
- Business name
- Job title (if provided)
- Login credentials managed through our authentication provider
Billing information
Subscription payments are processed by Stripe. Billing contact details and a payment method are collected at checkout. Full payment card numbers are handled by Stripe — LeadRilo does not store complete card numbers.
Customer content
The core of the product: the leads, contacts, messages, forms, notes, appointments, pipeline, and workflow data you create or import. This is your data. We store and process it to provide the service.
Communications
- Support emails and messages
- Sales and onboarding conversations
- Feedback and survey responses you send us
Usage & technical information
Standard technical data such as device and browser type, pages viewed, and general usage events, plus IP address in transit. On our marketing site this is measured with privacy-forward analytics you can decline (see the Cookie Policy).
3. How We Use Information
- Provide, operate, secure, and improve the LeadRilo platform
- Authenticate accounts and prevent abuse
- Process subscriptions and send billing-related messages
- Respond to support requests and sales inquiries
- Send service and, where permitted, marketing communications you can opt out of
- Understand aggregate product and website usage to improve LeadRilo
We process customer content only to provide the service to you and per your instructions — not to build advertising profiles of the individuals in your records.
4. We Do Not Sell Your Data
LeadRilo is not a data broker. We do not sell the customer records you store, and we do not sell your account information. We are not in the business of building or reselling consumer profiles.
Some privacy laws define "sharing" broadly to include certain analytics or advertising cookies. Where that applies, you can decline non-essential cookies using our cookie preferences, and we honor recognized opt-out signals where required.
6. Data Retention
We keep account and customer content for as long as your account is active. After cancellation, data is retained for a limited wind-down period so you can export or reactivate, and is then deleted or anonymized unless we must keep it to meet legal, tax, or security obligations. Final retention periods are being confirmed as part of our launch review.

7. Your Privacy Rights
Depending on where you live, you may have rights to access, correct, delete, or export your information, and to opt out of certain processing. We provide these rights to our users and support our customers in extending them to the individuals in their records.
California (CCPA / CPRA)
California residents may have rights to know what personal information is collected, to access and delete it, to correct it, and to opt out of its sale or sharing. LeadRilo does not sell personal information.
Virginia, Colorado, Connecticut & similar state laws
Residents of states with comprehensive privacy laws may have rights to access, correct, delete, and obtain a copy of their personal data, and to opt out of targeted advertising or profiling.
EU / UK / EEA (GDPR / UK GDPR)
Where these laws apply, individuals may have rights of access, rectification, erasure, restriction, portability, and objection. Where LeadRilo acts as a processor, we support the controller (our customer) in honoring these requests.
Everyone else
Regardless of where you live, you can ask us to access, export, correct, or delete your information, and we will respond in good faith and as required by any law that applies to you.

8. How We Protect Information
We use encryption in transit, authenticated access, role-appropriate authorization, and reputable infrastructure providers. No online service can promise perfect security, and we do not claim certifications we have not earned. Our current practices are described on the Security page.
9. Children
LeadRilo is a business tool intended for use by businesses and is not directed to children. We do not knowingly collect personal information from children.
10. Changes to This Policy
We may update this policy as the product and legal requirements evolve. Material changes will be reflected in the version and "last updated" date at the top of this page.
