This is a fair framework, not a sales pitch. It is written so you can evaluate any CRM objectively — and so you can decide whether you even need one yet. Some businesses are better served by fixing their process before buying software.

What to evaluate
Score each area for every option you are considering.
- Ease of use — will your team actually use it daily?
- Implementation — how much setup is required to get value?
- Training — what does it take to onboard the whole team?
- Lead capture — does it capture calls, forms, email and messaging?
- Lead assignment — can you assign owners and enforce accountability?
- Messaging — built-in text/email, or bolt-ons?
- Automation — acknowledgements, reminders, follow-up cadences
- Estimate follow-up — does it support your quoting workflow?
- Reporting — can you trust the numbers enough to spend on them?
- Attribution — can it tie revenue back to lead source?
- Integrations — does it fit the tools you already use?
- Pricing — total cost including add-ons and seats
- Contract terms — length, auto-renewal, cancellation
- Support — availability, responsiveness, real humans
- Portability / export — can you get YOUR data out cleanly?
Do you need a CRM yet?
If you handle a low volume of leads and nothing is falling through, a spreadsheet and a disciplined process may be enough for now. A CRM earns its cost when lead volume, multiple team members, or follow-up complexity make manual tracking unreliable.
Be honest about the problem you are solving. Buying software to fix an undefined process usually just adds an expensive place to be disorganized.
Questions to ask any CRM vendor
Ask every vendor the same questions and compare the answers directly.
- What does full setup actually involve, and who does it?
- What is the all-in monthly cost for my team size, including messaging and add-ons?
- Is there a contract, and what are the cancellation terms?
- How do I export all of my data if I leave?
- What happens to automations and history if I downgrade?
- What support is included, and what costs extra?
- Can you show me a business like mine using it today?
- What does it NOT do well for a business like mine?
Red flags
- Long contracts with automatic renewal and hard cancellation
- Data export that is limited, paid, or "contact us" only
- Pricing that hides real cost behind required add-ons
- A demo that avoids showing your specific workflow
